Airbnb management in Lisbon: how much does it cost?

Percentage, flat fee, calculation base, what is included and what is billed separately: how to genuinely compare property management offers in Lisbon.

On paper, comparing two management companies looks easy: check the percentage and pick the lowest. In practice, it is the surest way to get it wrong. Two offers with the same rate can cost very different amounts depending on what the rate is applied to and what is actually included.

Here is how to read a property management offer in Lisbon, and the questions to ask before signing.

The main fee models

Percentage of revenue

The most common model: the manager takes a percentage of rental revenue. Its strength is aligned interests: if the property rents well, everyone gains; if it rents poorly, the manager earns less.

Monthly flat fee

A fixed amount each month, whatever the bookings. Predictable, but less motivating: the manager is paid the same whether the property is full or empty.

Hybrid models

A reduced fixed fee plus a percentage, or a percentage with a monthly minimum. Useful for some very seasonal properties, as long as you understand the calculation.

Guaranteed rent

A company pays you a fixed rent and operates the property on its own account. You gain peace of mind but give up part of the potential and control over how your home is used. This model also raises legal questions (lease, who holds the AL registration) that should be checked.

The real issue: the calculation base

A percentage only means something if you know what it applies to. Depending on the manager, the base can be:

  • the total amount paid by the guest, cleaning fee included;
  • the nightly revenue before platform commissions;
  • the nightly revenue after platform commissions;
  • with or without VAT (IVA): a rate “plus IVA” costs 23% more than a rate “IVA included” at mainland Portugal’s standard rate.

Same stated rate, three different costs. Always ask for a worked example over a typical month: it is the simplest way to compare.

Partial or full management

Some offers only cover part of the work: creating the listing, messaging, or just check-ins. Others handle the whole operation.

Partial management costs less, but everything it does not cover stays with you, often at the worst moment: a lost key on a Sunday evening, a leak mid-stay. To weigh it up, see managing it yourself or using a property manager.

Local presence is a criterion in itself

Part of management happens remotely: listings, calendars, messages. But a short-term rental is lived on site. When a guest cannot find the building entrance or a water heater breaks down, the difference between a manager based in Lisbon and a messaging service is measured in hours, and in reviews.

Ask who actually steps in, how quickly, and whether the team is employed, freelance or subcontracted.

What is included, and what is billed separately

Even full management does not cover every expense. It is normal for some specific services or expenses to be billed separately; what matters is that they are stated clearly from the start. The most common:

  • cleaning and linen, usually covered by the cleaning fee paid by guests;
  • consumables (welcome products, paper, coffee);
  • repairs, parts and tradespeople;
  • a professional photo shoot;
  • a personalised in-person welcome, when offered as an option.

Questions to ask before choosing

  1. What is the exact base for your commission? Is IVA included or on top?
  2. Can you show me a worked example for a typical month?
  3. What is included, and what is billed separately?
  4. Who is on the ground, and how fast do they respond in an emergency?
  5. On which platforms will my property be listed?
  6. How do you set prices, and how often are they adjusted?
  7. What maximum amount can you spend on a repair without my approval?
  8. What reporting will I receive, and can I see the calendar in real time?
  9. Can I block dates for my own use?
  10. What are the commitment period and termination terms?

For transparency, here is our model: a single full-management plan at 15%, VAT (IVA) included, calculated on booking revenue, excluding cleaning fees and after platform commissions. Some specific services or expenses may be billed separately; we explain them in our first conversation.

It is not necessarily the right model for everyone. But it is the kind of clarity you should expect from any manager.

Frequently asked questions

Is a lower percentage always better value?
No. Compare the calculation base, VAT (IVA) and what is billed separately. A lower rate applied to the total paid by the guest, plus IVA, can cost more than a higher rate applied after platform commissions, IVA included.
Who pays for cleaning between stays?
In most cases the guest, through the cleaning fee shown on the booking. Check how the manager treats it: is it excluded from their commission base?
Can I still use my home for a few weeks a year?
With most managers, yes: you simply block the dates in the calendar. Just check how much notice is required.
